Opella is a multinational group that includes Opella Healthcare with its affiliates and subsidiaries (collectively “Opella”, “we”, or “us”).

Your Personal Data (or Data) is any information that is about you, or is related to you and used to learn, evaluate, or decide something about you. Opella understands the importance of privacy and the protection of Personal Data and is committed to ensure protection and security of Data we process.

This Global Privacy Notice explains how and why we may process your Personal Data when you interact with us as a participant in events and trainings. We provide detailed information on what Data is actually collected and used through specific privacy notices that we make available when your Personal Data is collected.

Who is responsible for using and protecting your Data.

Different Opella companies may be responsible for processing your Personal Data, for different purposes.

As a general criterion, the Opella company which organizes the event or training and with which you have the most direct interaction is normally responsible for processing your Personal Data in relation to that event or training.

In all cases, we explicitly state which entities are responsible for specific uses of your Data within the privacy notice we make available to you when such Data is collected.

What Data we collect about you and why.

The Personal Data we may collect about you belong to the following categories:

  • Personal identification data, such as name, address, residency, date of birth, national ID, email address and telephone number;
  • Images, such as pictures and video-recordings taken during the events and training sessions;
  • Contact details, such as home address, email addresses, phone numbers, and emergency contact information;
  • Communication information, such content and meta-data of communications (e.g., email messages) concerning the event or training sessions;
  • Financial information, such as financial account data (credit card number, bank account);
  • Educational and professional qualifications, such as academic degrees or diplomas, professional certifications or licenses, training or workshop completions, membership in professional bodies, languages spoken;
  • Organizational affiliation data, such as company or organization, job title, role, function, department, BU or division, , functional responsibilities or domain areas;
  • Travel, transport and mobility information, such as itineraries and travel-related information concerning the participation in the event or training;
  • Medical, health and impairment information, such as information related to specific needs or constraints concerning your participation (e.g., assistance, accessibility, dietary restrictions, etc.) which may be connected to specific health conditions.
     

Depending on the nature of the event or training, we may process such Personal Data for one or more of the following purposes:

  • to organize and manage events or training, for example by managing registration and check-in, arranging for accommodation and meals, providing informational materials, and tracking attendance;
  • to manage and nurture the relationship with you, for example by inviting you to participate in surveys, provide feedback or attend other events;
  • to handle financial and contractual matters, when, for example securing payment of any fees in respect of participation in events or training;
  • to manage external relations, for example by promoting and documenting the event for public or promotional use;
  • to provide commercial and promotional information about our products and services, for example by sending direct marketing and promotional communications through various electronic channels. Learn more about this by reading the note on “Direct marketing” below;
  • to fulfill our legal, regulatory, ethical and compliance obligations, for example (when applicable) regarding the safety and accessibility of sites and contents;
  • to establish, exercise or defend our legal rights, for example to obtain legal advice in relation to current or prospective legal proceedings;
  • to protect our staff, visitors, assets and information, for example, by limiting potentially dangerous interference between participants and other on-premises staff or managing appropriate controls to secure physical and information assets.
     

We process personal data for the purposes described above based on applicable legal grounds, which may include the necessity to provide requested services, compliance with legal obligations, legitimate business interests, or consent where required by law.

Direct Marketing

From time to time, you may receive from us communications relating to products or services that may be of interest to you. For this kind of unsolicited messages, we may use mail, phone calls, text message, or other electronic means.

To send direct marketing messages we align with local regulations and, when necessary, we will ask for your prior consent. Consent can be obtained directly from you, or through a third party. When a third party requests your consent to let us use your data for sending direct marketing communications, they may either name us explicitly or refer to us in a more generic way, such as "manufacturer of pharmaceutical products".

You can always opt out of receiving direct marketing communication from us. Just follow the instructions that we include in such communication or contact us as described the following sections.

How we collect your Data.

Depending on the nature of the event or training, we may collect your Personal Data from different sources and in a variety of circumstances and ways:

  • directly and knowingly from you,
  • from other affiliates of Opella,
  • from Partners or Service Providers,
  • from publicly available sources.
     

In addition, new Data about you may be inferred, derived, generated as part of the processing (for example, attendance records, training results, etc.).

If we obtain your Personal Data from more than one source, we may combine or link such Data and use it for purposes compatible with those for which it was originally collected.

Use of online services during an event

In case of an interaction with our online services in relation to an event or training (e.g., online registration tools, e-learning platforms, etc.), Personal Data may also be collected and processed as described in the “Users of our online services and applications” notice.

Events or in-person training taking place at one of our locations

If the event or training session occurs in one of our locations, Personal Data may also be collected and processed as described in the “Visitors to our locations” notice.

Who can access your Data.

Only authorized recipients have access to your Personal Data to perform the activities described above. Such recipients may include:

  • employees and staff of Opella affiliates and subsidiaries, to allow for the processing of your data for the purposes described in the previous sections;
  • our partners such as service providers, contractors, or vendors, acting upon our instructions for to support the processing of your Data for the purposes described in the previous sections;
  • professional advisors and auditors;
  • supervisory & regulation bodies, public authorities, courts, and law enforcement bodies. This may happen, for example, in circumstances that include, but are not limited to fulfilling our reporting obligation; responding to requests from them; when it is necessary to establish, exercise, or defend legal claims; when you request us to do so if this does not constitute a violation of our or others' rights; when it is necessary to prevent physical harm or material financial losses to us or others;
  • media contributors, to allow for public communications about the event or training, it any.
     

Whenever required by the applicable law, we enter into contractual agreements with these recipients to ensure they provide adequate data protection measures, they commit not to use the Data for purposes other than those described in this Global Privacy Notice and cooperate with us to ensure that your rights can be effectively exercised.

Disclosure of your Data to the general public

In relation to specific events and (more rarely) trainings, we may also disclose certain Data about participants in such events or training to general public.

For example, for some events featuring guest speakers, panelists, or other distinguished participants, we may include certain identifying information about them in invitations, announcements, or promotional materials. This may occur before the event (e.g., when sharing event programs, speaker lineups, or promotional content via our website, social media channels, or other public communication platforms) as well as after the event (e.g., in articles, blog posts, or social media updates summarizing key discussions and takeaways).

If you are invited as a speaker, panelist, or guest with a publicly visible role, we will inform you in advance of how your information may be shared and we will only do so if you agree with this use of your Data or if legally bound to do so.

During events or training, we may capture photographs, video recordings, or audio recordings for documentation, internal reporting, and external communication. These materials may be used in public-facing content, such as articles, blog posts, marketing materials, or posts on corporate social media channels.

We will always inform in advance the participants about when and where recordings or photographs will be taken and provide them with relevant choices. However, please note that for events held in public or widely attended settings, we may not always be able to accommodate individual requests to avoid photography or recording,

Where is your Data processed.

We are part of a multinational group with employees, affiliates, partners and service providers located around the world. Consequently, your Data may be processed in and accessed from countries where different data protection laws apply.

When Personal Data is transferred to or accessed from other jurisdictions, we adopt one of the mechanisms provided by the law to ensure an equivalent level of protection of your Data in the destination country. This includes, for example, the adoption of the Standard Contractual Clauses.

How long we keep your Data.

Your Data will be kept for a period not exceeding the time necessary to achieve the purposes for which it was collected. The criteria for determining the retention period of the Personal Data consider the period of permitted processing (for all the relevant purposes), applicable regulations affecting the minimum or maximum retention period (if any), limitation of rights, and legal bases for processing.

How we protect your Data.

While we strive to protect your Personal Data, no Data transmission, use or storage can be guaranteed as 100% secure. To protect your Data, we adopt technical and organizational measures aimed at reasonably mitigating the risk that such Data is leaked, lost, or used for unauthorized purposes.

If a security incident occurs and affects your Personal Data, we will take reasonable actions to mitigate possible impacts on you. When the incident is likely to result in serious harm this may include a notification to you or to competent authorities.

Your rights.

You have rights regarding your Personal Data which may include, for example:

  • have access to, and receive a copy of your Data;
  • obtain the rectification of your Data, should it be inaccurate, incomplete, or obsolete;
  • obtain the deletion of your Data in situations set forth by applicable data protection laws;
  • withdraw your consent to data processing at any time, without affecting the lawfulness of processing, where your Data has been collected and processed on the basis of your consent;
  • object to the processing of your Data, where it has been collected and processed on the basis of our legitimate interests;
  • request a limitation of data processing activities, in the situations set forth by applicable laws;
  • request that some of the Data you provided to us is brought to you, or to another company, in a commonly used, machine-readable format.
